Hotels need more than "occupied" and "vacant." Hospio360 tracks six room statuses that reflect what actually happens on the floor: Available (green), Reserved (yellow), Checked In (blue), Checked Out (gray), Blocked (gray), and Dirty (red).

When a guest checks out, the room status changes automatically. Your housekeeping team sees which rooms need attention. When the room is cleaned and inspected, the status updates to Available and the front desk sees it on their board immediately. No phone calls, no walking the hallway, no radio chatter.

The rooms table shows every room with its ID, name, type, branch, current guest, status badge, and facilities. Filter by status to see only dirty rooms, only available rooms, or only occupied rooms. Search by room number and export the full list as CSV, PDF, or Excel.

Room deactivation for maintenance and closures

Sometimes rooms need to come out of service entirely — a burst pipe, a renovation, seasonal closure, or a deep clean. Marking a room as Blocked is temporary, but deactivation is intentional.

Hospio360 lets you deactivate a room with a reason that gets logged. Deactivated rooms disappear from the availability pool entirely. They cannot be booked, assigned, or accidentally checked into. A separate "Deactivated Rooms" tab shows all out-of-service rooms with their deactivation reasons, so your team always knows why a room is offline.

When the work is done, reactivate the room and it returns to the Available pool. The deactivation reason stays in the room's history for reference.

The worst part of running a front desk without real-time room status is the uncertainty. Is room 205 clean? Did housekeeping finish the third floor? Can we offer an early check-in to the guest who just arrived?
