Orders that capture everything your team needs
Creating a laundry order starts with the customer — link to a checked-in guest by selecting their booking, or enter a walk-in customer's name, phone, and email. Then add items from your catalog: select the laundry item, choose the service type, set the quantity, and optionally note the item color, brand or label, condition, and special instructions per garment.
Set the urgency level for the entire order: Standard (24-48 hours at base price), Express (12-24 hours at 1.5x), Same Day (6-12 hours at 2x), or Urgent (3-6 hours at 3x). The price calculates automatically from the item's service-specific price multiplied by the urgency level.
For walk-in customers, collect a deposit right in the order form — set the amount, choose cash, card, bank transfer, or mobile money, and add a reference. For hotel guests, the charge posts to their room folio.
Six statuses from pickup to delivery
A laundry order moves through six states: Pending (received, yellow), Picked Up (collected from guest, cyan), In Progress (being processed, blue), Ready (done and waiting for delivery, teal), Delivered (returned to guest, green), and Cancelled (gray).
The orders table shows order number, customer name and room, item count, urgency badge, total amount, balance due, status, and payment status. Payment status is tracked separately with six states of its own: Unpaid, Partially Paid, Paid, Charged to Room, Complimentary, and Refunded.
Orders can be edited while in Pending or Picked Up status. Once In Progress, only customer information and notes can be changed — items and urgency are locked. Filter orders by status, urgency, or payment state to focus on what needs attention.
An item catalog built for hospitality laundry
The items page is your service catalog. Each item belongs to one of 10 categories: Clothing, Bedding, Towels, Curtains, Uniforms, Table Linen, Delicates, Accessories, Outerwear, and Others. Each item has its own price for every service type — a shirt might cost 500 for wash only, 800 for wash and iron, and 1,500 for dry clean.
Urgency multipliers are configurable per item. The defaults are 1.5x for express, 2x for same day, and 3x for urgent — but you can adjust them. A delicate silk blouse might warrant a 2x express multiplier while a standard towel stays at 1.5x.
The items table shows name, category badge, starting price (lowest available service price), number of services offered, and active status. Toggle items active or inactive to control what appears in the order form. Add items one at a time, or bulk upload via CSV or Excel with all 9 service prices, 3 urgency multipliers, and special instructions in one file.
Payment tracking across every order
The payments page opens with three summary cards: Total Billed, Total Paid, and Outstanding. Below, a table shows every order's payment state: date, order number, customer and room, total amount, amount paid, balance, and payment status badge.
Record payments against any order with an outstanding balance — enter the amount, select the method, add an optional reference and notes. The dashboard tracks it all in real time: total active items, pending orders, completed orders, total revenue, outstanding amount, orders today, and today's revenue.
Your manager sees revenue performance at a glance. Your laundry team sees what needs to be picked up, processed, and delivered. Everyone works from the same source of truth.
